An agent can be stuck outside if the mobile key is not current or authorized, the phone cannot communicate with the lockbox, or the listing requires a CBS code the agent does not have. If the app has been moved to a new phone or reinstalled, outdated contact information can delay reauthorization if it prevents the agent from receiving the authorization code.

A completed document can remain outside the broker-controlled file if it is not uploaded or routed through the brokerage's required filing workflow. Some transaction platforms can combine forms, e-signatures, checklists and broker review if the brokerage has the required products and integrations enabled. Retrieval can become difficult if nobody has confirmed which system contains the final approved copy.
What an authorized user can view inside the MLS is not necessarily the same information a brokerage may display through IDX or a VOW. A website can omit permitted fields or show stale listing data if its authorized display is configured incorrectly or does not refresh as required.
An agent departure can leave access open if offboarding stops at email. Access can remain active if the brokerage disables one account but misses the MLS, transaction platform, CRM, lead sources or shared files. A written offboarding list can reduce that gap if each system has a named owner and a confirmed removal step.
Within an agreed support scope, we can manage identities, permissions, device security, Microsoft 365 or Google Workspace, and the office network. If a problem appears to cross into an MLS or transaction vendor's system, we can document what we found and coordinate with the appropriate provider. Deciding what counts as the broker-approved file, how long records are retained, and what a specific listing agreement requires stays with your brokerage and, where it matters, your attorney.
