A certificate is due in an hour, and the login will not cooperate

The policy itself might be fine. It is the carrier portal that will not load, the rater that logs everyone out, or the document storage account nobody can reach from the laptop IT never touched. When a certificate is holding something up, the lender or landlord may care more about getting it than which system failed.

Even when the agency management system holds the authoritative record, the work can move through carrier portals, raters, email, e-signature, document storage, accounting, download services, phones and a spreadsheet that somehow became permanent. Surety work can add bond forms, powers of attorney, financial statements and dates tied to a bid.

The work runs across more systems than it looks

A problem with identity, email, connectivity, scanning or permissions can stop the whole process even when the main application is fine. We manage what surrounds it, and we take it up with the vendor or the carrier when the fault line sits between them. You should not be translating finger-pointing while a submission waits.

Impersonation can fit the normal shape of this business

When routine email contains invoices, premiums, banking details, signatures or urgent changes, an impersonation attempt can resemble legitimate work. A request to change payment instructions can land in the middle of a thread that is entirely genuine up to that point.

When correctly configured and enforced, SPF, DKIM and DMARC can make direct abuse of your domain harder. Multi-factor authentication, monitoring, phishing simulation and training can reduce the likelihood and impact of a real account being taken over. Payment changes should still be verified out of band, because email should never have the final vote on where money goes.

Carrier access needs order rather than shared passwords

Portal and quoting-system accounts can accumulate when each carrier, role or workflow adds another login. Producers, account managers and service staff need different access, and a departure or role change can leave cleanup that is easy to postpone.

We manage identities, permissions, Microsoft 365 or Google Workspace, device security, the network and the phones. Clear ownership and current documentation can keep onboarding and offboarding from depending entirely on whoever remembers the setup, while individual access can replace the shared password on a note beside the monitor where it enjoys excellent availability.

Recovery has to include the working documents

Losing the agency system is serious. So is losing the submissions, certificates, bond documents, correspondence and scanned financials that can live outside it. Backups stay isolated from what they protect and get proven with real restores.

Monitoring runs around the clock through a staffed security operations center, and recovery planning settles which systems come back first and who rings which vendor. Your agency owns its domain, its administrative accounts and its documentation. We resell nothing and take no vendor commissions, so what we recommend is simply what we think you need.
